PROTECTING YOUR PRIVACY

Lionheart Realty Brokerage and Lionheart Property Management Inc. acknowledge the significance of privacy for individuals. We recognize that earning the trust of our clients and employees is an ongoing and essential endeavor. With the advent of electronic media, it becomes imperative to take additional measures to safeguard individual privacy. We endorse the Canadian legislation, the Personal Information Protection and Electronic Documents Act, which plays a vital role in preserving the privacy of individuals. Our commitment to protecting personal information extends beyond this Act, as we continually seek further ways to ensure the security and responsible use of the data we hold.

For this purpose, we have appointed our Compliance Officer to take charge of personal information. As our Information Officer, their responsibility is to ensure that the personal data entrusted to us remains secure and is used only for the necessary services our clients deserve.

WHAT IS CONSIDERED PERSONAL INFORMATION?

Personal information refers to any data that identifies an individual. It includes full names, addresses, telephone numbers, dates of birth, email addresses, and any other information that can identify or enable contact with an individual. We only come to know this personal information when it is provided to us by individuals themselves.

WHY DO WE REQUEST YOUR PERSONAL INFORMATION?

If you intend to rent from us or use property management services, apply for a job, or work as a contractor or subcontractor with us, you will be asked to provide certain information, including those mentioned below.

RENTING FROM US:

When you apply to rent from us, we require you to complete a Rental Application. This application asks for your name, address, phone number, and date of birth, as well as those of all applicants or occupants. We collect this information to process your application for leasing an apartment from us. Dates of birth are essential for identification purposes in a Consumer Report. Your consent to obtain a Consumer Report is explicitly stated on the application form. Additionally, we use the information collected to contact your employers, previous landlords, and references while making decisions on your application. After your move-in, we may use your personal information to conduct a move-in survey to ensure a satisfactory experience.

Before moving into your new home, you will be required to sign a Tenancy Agreement, which outlines the lease details, such as rental rates and inclusions. By signing the lease, you grant us permission to record and use information obtained about you for the purpose of enforcing any term of the Tenancy Agreement, as well as to obtain a new Consumer Report in case of rent payment delays or Tenancy Agreement reviews.

PROPERTY MANAGEMENT/MAINTENANCE SERVICES:

If you engage with our services, specifically property management an maintenance services, we will need information about you or your business entity, including legal names, addresses, financial details, and records related to the property we will manage for you. In most cases, we will also need specific information about the residents of the property, such as names, addresses, phone numbers, banking information, and emergency contacts. This information is primarily used for the day-to-day management of your property and assets, such as contracting maintenance work, maintaining communication with owners and residents, creating financial reports, billing services, and necessary government remittances.

EMPLOYMENT OPPORTUNITIES:

For job applications at Lionheart, we request resumes containing names, phone numbers, addresses, email addresses, employment history, and educational details. This information helps us contact you and review your application for employment. After you start working with us, we may require additional information, including your social insurance number, date of birth, personal tax credits, and bank deposit information, to ensure proper payments and government remittances are processed as per standards. In some cases, such information may be disclosed to the Canada Revenue Agency to comply with income tax legislation.

PURCHASE OF GOODS/SERVICES:

As part of our realty and property management operations, we engage various vendors providing services and products related to property maintenance, construction, landscaping, insurance, and financial services. To become an authorized provider, vendors must complete an application for supplier registration, which includes business information like names, phone numbers, addresses, email addresses, insurance coverage, worker’s compensation coverage, work history, and references. This information is used to contact and evaluate potential vendors for patronage.

CALL RECORDING:

To improve customer service, we record all inbound and outbound telephone calls. These recordings are used for staff training and coaching, complaint investigation, quality improvement, reporting on types and numbers of inquiries, and simplifying and enhancing our service. We store the recordings securely, accessible only by management.

NEW USE OF PERSONAL INFORMATION:

If we wish to use your personal information for purposes beyond those initially intended, such as offering additional services, products, or promotional offers that might interest you, we will seek your consent by using your contact information, including email, to request approval for the new purpose.

SHARING YOUR PERSONAL INFORMATION:

Lionheart may use your personal information to identify other services and products that may suit your needs. However, we do not sell your personal information to third parties or disclose it except when necessary to process your requests for property management and realty and tenancy services, such as credit applications for apartment leases, preauthorized payments to investors’ bank accounts, or disclosure of foreign investor information to the CRA as required by law.
